The 5-section template
1. Project Overview
Start with 2-3 sentences showing you understand their problem. Mirror the language they used in the brief. Example: "You're launching a new SaaS product and need a website that converts visitors before your Q3 go-live date."
2. What You'll Deliver
Use a table, not paragraphs. List each deliverable, the format it comes in, and any dependencies. Clients scan — don't make them parse a wall of text.
3. Timeline
Break the project into phases with dates. Even rough dates are better than none. 'Discovery: Week 1, Design: Weeks 2-3, Development: Weeks 4-7, Launch: Week 8.' This builds confidence.
4. Investment
One number, not a range. If you offer options, two tiers maximum: 'Core' and 'Full.' Ranges signal uncertainty. Confidence closes deals.
5. What Happens Next
Tell them exactly what to do: 'Accept this proposal by clicking the button below. I'll send a contract and invoice within 24 hours.' Remove every friction point between yes and signed.
