How to Follow Up on a Proposal Without Being Annoying

Most deals don't die because the client said no. They die because the freelancer followed up at the wrong time — or not at all.

Why timing is everything

A follow-up that lands while a client is actively thinking about your proposal is 10x more effective than one that lands three days later when they've moved on. The problem is you have no idea when they're reading it — unless you do.

The 3-touch follow-up system

Touch 1 — Same day

The confirmation

Send a short message right after the proposal: 'Just sent the proposal over — let me know if you have any questions about scope or pricing.' Short, not salesy. You're just confirming they got it.

Touch 2 — When they open it

The real-time follow-up

This is where most freelancers are stuck — they have no idea when the client is reading it. Tools like Quotely notify you the second a client opens your proposal. That's when you send a short message: 'Hope the proposal is clear! Happy to jump on a quick call if it helps.' You're reaching out while you're literally top of mind.

Touch 3 — Day 5-7

The gentle check-in

If you still haven't heard back: 'Just wanted to make sure this didn't get buried. Totally understand if the timing isn't right — happy to adjust scope or talk through any questions.' This is your last touch. If they don't respond after this, move on.

What to never do

  • Don't follow up the next morning ("just checking in" after 16 hours is desperate)
  • Don't apologize for following up ("Sorry to bother you..." signals low confidence)
  • Don't send the same message twice
  • Don't chase more than 3 times — if they're not responding, they're not interested

The cheat code: know when they're reading it

The single biggest upgrade to your follow-up system is knowing when your client opens the proposal. Quotely sends you a real-time notification the moment they open it — so you can send touch 2 at exactly the right time instead of guessing.

It's the closest thing to being in the room with them when they read it.
